How to Book a Standard Session

As part of the client intake process, I will provide you with an email address and phone number to enable you to communicate with me via email, WhatsApp or SMS.

To arrange a session, please use either email or WhatsApp to contact me.

If either of these methods aren’t possible you can send a message via the Contact Form.

I provide Standard Session and Multi-Session clients with my phone number to use if they need to let me know about a power or internet outage and cannot contact me by email or WhatsApp. Please do not use this number to phone me to arrange a session unless absolutely necessary.

Standard Session Format

All sessions are conducted by Zoom.

I do not do sessions by phone, or in person, or using other video software (e.g. Teams).

I use Zoom Pro which means clients only need to have the free version of Zoom.

Once we have agreed a date and time for your session I will email you a Zoom link to enable you to join at the appointed time.

Optional Recording and Transcript

If you wish to have a record of your session for future reference, I can record your session and provide you with a link to it afterwards.

Session recordings can be useful to review later or to tap through issues again in your own time.

I can also provide an AI transcript of the session if you wish.

Session recordings and transcripts obviously contain highly personal data. They will be deleted after 6 months. This is to minimise the possibility of inappropriate access by others in the future. I will contact you one month and again one week before I delete any recordings or transcripts, to give you plenty of time to download them if you wish.

If you download a session recording or transcript to your own computer or cloud storage, you are responsible for its access and security.

By downloading either a session recording or transcript you agree not to publish it or otherwise share it with others on any public or private platform. This is in order to respect both your privacy and mine.

Confidentiality

Anything you say within a session is treated as confidential by default.

Any written work that you choose to share with me as part of a session or between sessions will also be treated as confidential by default.

Package Upgrade Offset

If you are considering buying a 6 Session or 12 Session Package, but want to experience a session or two first, I offer a package upgrade offset option.

This means that you can pay for up to 5 Standard Sessions separately, and then upgrade to a 6 or 12 Session Package if you decide you will want more sessions at a lower rate. The amount you have already paid will be offset against the package cost, and the sessions you have already taken will be deducted from your remaining sessions for the package.

For details of how this works, please visit the Multi-Session Packages page.

Cancellation and Reschedule Policy

Sessions may be cancelled or rescheduled provided you let me know by 6pm the previous day.

Emergency Cancellations:

If you find you need to cancel a session after 6pm the evening before or the same day, please let me know as soon as you are aware, using WhatsApp (the fastest way to reach me).

I’m a mum and have also been a carer, so I know that sometimes stuff happens that’s out of our control, and I don’t want to penalise anyone who cannot attend a session due to a genuine emergency.

With this in mind I allow clients up to 3 Emergency Cancellations per year. But please do contact me as soon as you reasonably can to let me know.

Further Emergency Cancellations will incur a cost of £20 each.

No Shows:

Failure to attend a scheduled session without contacting me will incur the full cost of the session (or deduction of the session from your package).

If a No Show was due to a genuine emergency and you were unable to contact me beforehand, please contact me as soon as possible afterwards.

Late Shows:

Being late for a session by more than 15 minutes, without contacting me, will be counted as a No Show.

If you know or suspect you are going to be late, please let me know as soon as you can.

If you are unable to attend a session or are likely to be late due to an outage or a technical problem, please follow the advice in the next section.

Outages and Technical Problems

Either you or I may, at some point, experience power or internet outages, or other technical problems with computers or software which mean we cannot conduct a call at the planned time.

Thankfully, these situations are increasingly rare but they can happen to anyone. So it is useful to have a protocol ready, just in case.

If it happens to me:

  • I will contact you via WhatsApp to let you know – so please have your phone nearby when you are getting ready for a call.
  • If WhatsApp is not available due to internet outage, or if you don’t respond within 10 minutes, I will send an SMS message instead.
  • Please respond to such messages so that I know you have seen it.

If it happens to you:

  • Please send me a message on WhatsApp to let me know.
  • If this isn’t possible, send me an SMS text message.
  • If this isn’t possible either, use a landline or borrow someone else’s phone to call or text me.
  • Keep my phone number written down somewhere, so that if your phone dies or is stolen you still have access to it.
  • I will acknowledge your message as soon as I see it.

Taking Precautions:

There are a number of precautions you can take to avoid common technical problems:

  1. Software Updates – Make sure your laptop or computer is switched on at least 15 minutes before the session. This gives your computer time to carry out any necessary software updates and restart before the session begins.
  2. Test New Software – If you’ve just installed Zoom for the first time, carry out a test call to someone and check everything works. Or use Zoom’s own test call facility here: https://zoom.us/test. If it’s your first time joining a call using a Zoom link, let me know and we’ll aim to start a few minutes early to check it works.
  3. Test Connection in New Locations – If you’re calling in from a new location (hotel room, a cabin in the Cairngorms or a villa in Tuscany) please check that you have a working internet connection and sufficient bandwidth for a Zoom call well before the session start time. You can use Zoom’s own test call facility here: https://zoom.us/test.
  4. Check Battery Life – If you’re using a battery powered laptop or phone to call in, make sure the device is fully charged before the call. Ideally, have a portable power supply (fully charged), or mains charger to hand.
